Who We Are

Contact: hello@neatr.space  ·  Website: neatr.space

What Data We Collect

We collect and process the following categories of personal data, depending on your interaction with us:

  • Identity & contact details — name, email, phone number, service address/postcode.
  • Booking & communications data — messages, calls, emails/WhatsApp, photos/videos of your garage, access and parking notes, preferred dates.
  • Transactional data — selected service tier, add‑ons, deposits, invoices, payment confirmations. Card details are processed by the payment provider and not stored by NeatR.
  • Operational records — Job IDs, waste transfer documentation where applicable, before/after photos with your consent, signatures and acceptance of terms.
  • Website & analytics data — device, browser, pages visited, referral source, engagement metrics via cookies/analytics.

How We Collect Your Data

  • Directly from you via web forms, email, phone/WhatsApp, and on‑site.
  • Automatically via cookies and analytics when you visit our website.
  • From service providers involved in bookings, payments, messaging, or forms you use to submit information to us.

Our Lawful Bases for Processing

  • Contract — to provide quotes, schedule and deliver services, and manage billing and customer support.
  • Legitimate interests — to run, secure, and improve our operations (e.g., scheduling efficiency, fraud prevention, record‑keeping).
  • Legal obligation — to meet tax/accounting requirements and keep waste transfer records where applicable.
  • Consent — for optional marketing communications and use of identifiable before/after photos. Consent can be withdrawn at any time.

How We Use Your Data

  • To provide quotes, confirm bookings, deliver services, and provide customer support.
  • To create and manage job records, including lawful transfer/disposal documentation.
  • To process payments via a third‑party payment provider (we do not store card details).
  • To send service messages and post‑job review requests.
  • To analyse website performance and improve our services.

Sharing Your Data

We share personal data only when necessary or required by law. Typical recipients include:

  • Service platforms — website host, email provider, booking/CRM, form provider, analytics/advertising platforms.
  • Payment processors for deposits and balances (card data handled entirely by the provider).
  • Waste and recycling partners to lawfully transfer and dispose of agreed items.
  • Professional advisers and insurers for compliance and legal purposes.
  • Regulators or law enforcement when required by law.

We put in place appropriate contractual and technical safeguards with all service providers.

International Transfers

Some service providers may process data outside the UK. Where that happens, we rely on appropriate safeguards (e.g., UK adequacy regulations or standard contractual clauses) to protect your information.

How Long We Keep Your Data

  • Quote enquiries (no booking): up to 12 months from last contact.
  • Booking & job records: generally up to 6 years for tax/accounting and legal purposes.
  • Before/after photos: up to 12 months unless you withdraw consent earlier; non‑identifiable marketing images may be kept longer.
  • Waste transfer records: retained in line with legal requirements.

Your Rights

You have rights under UK data protection law, including the rights to access, rectify, erase, restrict or object to processing, and data portability where applicable. Where we rely on consent, you can withdraw it at any time.

To exercise your rights, email hello@neatr.space. You can also complain to the Information Commissioner's Office at ico.org.uk.

Cookies & Analytics

  • We use cookies and similar technologies to operate the site, measure performance, and improve user experience.
  • Where required, we present a cookie banner and obtain consent for non‑essential cookies.
  • You can control cookies in your browser and withdraw consent at any time.

Security

  • We use reasonable technical and organisational measures, including access controls and encrypted transport, to protect your data.
  • We do not store plaintext payment card data.
  • No method of transmission or storage is 100% secure. If we identify a personal data breach, we will act in line with our legal obligations.

Children

Our services are not directed to children and we do not knowingly collect personal data from children. If you believe a child has provided personal data, contact us to remove it.
